What should you find out about a fire alarm system maintenance agreement?

The price and the date of the next service visit do not tell you everything about a maintenance agreement. See which systems, fault repairs and documentation are worth reviewing before you sign.

When procuring fire alarm system maintenance, attention easily turns to the price and the timing of the next service visit. It is just as important, however, to understand what the agreement includes, which systems it covers and how the findings from maintenance are put to use.

A clear agreement helps the person responsible for the property to plan maintenance and compare services. These are the points worth looking into before making a decision.

First define what is to be maintained

The fire alarm system is not necessarily the only fire safety system in the property. The site may also have a voice alarm system, smoke ventilation and alarm transmission. It is worth identifying how they are connected, but not all systems are automatically covered by the same maintenance agreement.

The quotation should show which systems are included in the service. The actual maintenance tasks are based on the maintenance instructions for the devices and systems, not on a freely chosen list of jobs. The agreement describes how maintenance is arranged and priced.

Distinguish planned maintenance from one-off work

A single service visit meets a limited need. Planned maintenance also considers upkeep as a whole and the tasks ahead.

Device information, maintenance instructions and previous reports form the source material for maintenance. On that basis, maintenance tasks are compiled into a maintenance programme and service visits are scheduled. Any missing source information is identified while the service is being prepared.

Find out how fault repairs and additional work are handled

Maintenance may reveal a need for repairs or modifications. It is good to see from the quotation how these are handled: are they part of the agreed service, or are they agreed separately?

Likewise, it is worth clarifying the means of contact and the availability of the service in advance. An on-call service or a specific response time should not be assumed from the name of the maintenance agreement alone.

Documentation makes the work visible

It is useful for the person responsible for the property to know what has been done and which findings need to be followed up. You should therefore also agree on how the work is documented, how the information is stored and how follow-up actions are handled.

Maintenance and renewal support each other
