# What information do you need to procure a voice alarm system?

Procuring a voice alarm system starts with understanding the building. A list of equipment alone does not tell you what kind of announcements the premises need or how the system should work together with the fire alarm system.

Good initial information helps our sales team survey the current situation, choose a suitable system together with you and prepare a quotation. Not everything needs to be ready when you first get in touch. The following information will help you prepare the procurement.

## Describe the premises and their use

An office, a retail unit and a large public venue are not the same kind of environment. Tell us what kind of premises the site has, how they are used and whether users are already familiar with the building.

Floor plans and information about the different parts of the building help to build up an overall picture. Also tell us about any planned changes to the premises as early as the survey and system selection stage.

## Tell us about the existing systems

Does the site already have a fire alarm system, a public address system or voice alarm equipment? Information about the equipment, design documents and current functions helps us assess what can be reused.

An ordinary public address system cannot be assumed to be suitable for voice alarm use as it stands. The features of the existing solution and the requirements of the site must be reviewed before deciding to extend or replace it.

## Outline your announcement needs

The announcement needs and the interfaces with the fire alarm system are identified as early as the system selection stage. Detailed design then defines the announcement zones, messages and control outputs for the chosen solution.

The acoustics of the premises and background noise, in turn, affect how clearly speech can be understood. That is why audibility and intelligibility are not achieved simply by adding equipment without design.

## Define the project stage and schedule

In a new building, the voice alarm system is coordinated with the progress of the rest of the construction project. When upgrading a building that is in use, operations during the work must also be taken into account.

Tell us whether this is a preliminary system selection or the delivery of a project that has already been prepared. Our sales team helps with procurement. Once the quotation has been accepted, project design prepares the delivery of the chosen system.

## From system selection to delivery

The project moves from the sales survey and system selection to a quotation. After the customer’s approval, detailed design is carried out, followed by equipment deliveries, installation, programming and commissioning.

PAP supplies voice alarm equipment and delivery services. We also [support electrical designers](https://pap.fi/en/sahkosuunnittelijat/) with system questions even before a project starts.

## Include use and maintenance in the procurement

User training helps with day-to-day management of the system. Maintenance, for its part, is based on the maintenance instructions for the equipment and the system. When training, maintenance and documentation are considered as part of the procurement, the system can be put into use smoothly.

Tell PAP about your site and the information you have available. Together we will work out what is needed next.
